Insurance is a relationship built on trust. To find you the right policy, we have to ask personal questions — and we take seriously the duty to handle your answers carefully. This policy explains what we collect, why, who we share it with, and the rights you have under Canadian privacy law.
01Who this policy covers
In this policy, "we," "us," and "our" refer to Amit Sharda, an Ontario-licensed insurance broker (RIBO licence #65578), operating under and through Billyard Insurance Group Ltd. (the "Brokerage"), 7916 Hurontario St, Suite #27, Brampton, ON, L6Y 0P6. References to "you" mean any individual who visits insuredwithamit.com, requests a quote, becomes a client, or otherwise provides personal information to us.
Personal information you provide to the Brokerage is also governed by Billyard Insurance Group's master Privacy Policy. Where the two documents differ, the Brokerage's master policy controls. [CONFIRM language with Brokerage Privacy Officer.]
02Accountability & Privacy Officer
We are accountable for personal information under our control, including information transferred to third parties for processing. Day-to-day inquiries about your file are handled by Amit Sharda. Formal privacy requests, complaints, and access requests are directed to the Brokerage's Privacy Officer.

03Information we collect
The information we collect depends on the product you ask about. We only collect what we reasonably need to quote, place, service, renew, or settle a claim under your policy.
Identity & contact
- Full name, date of birth, marital status, occupation
- Mailing and risk-location addresses, phone number, email
- Government identifiers required by an insurer (e.g. driver's licence number, plate)
Risk & underwriting
- Driving history, vehicle information, prior insurance and claims history
- Property details (year built, construction, heating, roof, square footage, prior losses)
- Business operations, payroll, revenue and other commercial underwriting data
- Health-related information only where required for life or living-benefits products you have requested
Financial
- Banking or credit-card information used to process premium payments
- Where required by an insurer and permitted by law, a credit-based insurance score
Technical
- IP address, device, browser, pages viewed and referring URL
- Cookies, pixels and similar technologies (see Section 11)
04Why we collect it
We use personal information for the following identified purposes:
- To verify your identity and confirm insurability.
- To prepare and present quotations and recommend appropriate coverage.
- To submit applications to insurers and place, renew or amend policies on your behalf.
- To service your file — answering questions, issuing certificates, processing endorsements, and assisting with claims.
- To communicate with you about your policy, payments, renewals and time-sensitive notices.
- To comply with our legal, regulatory and audit obligations under Ontario and Canadian law.
- To detect, prevent and investigate fraud, error and material misrepresentation.
- With your express consent, to send marketing communications about products that may benefit you.
05Consent
You may provide consent expressly (in writing, electronically or verbally) or implicitly, depending on the sensitivity of the information and the circumstances. By providing personal information to us in connection with a quote, an application, or the servicing of a policy, you consent to the collection, use and disclosure of that information for the purposes set out in Section 4.
You may withdraw consent at any time, subject to legal and contractual restrictions and reasonable notice. Withdrawing consent may make it impossible for us to continue placing or servicing insurance for you, and we will tell you the consequences before you decide.
We treat health, financial and identity information as sensitive and apply stricter handling and access controls. We will not collect sensitive information unless it is necessary for the product you have requested.
06Sharing & disclosure
We disclose personal information only as necessary to deliver the services you have asked for, or as required or permitted by law. Recipients may include:
- Insurance carriers and managing general agents to whom we submit your application;
- Reinsurers, premium-finance providers, and payment processors;
- Adjusters, appraisers, restoration vendors, lawyers and investigators engaged in your claim;
- The Brokerage's affiliates and service providers (IT, broker management systems, secure storage, e-signature, document hosting and analytics) acting under written confidentiality and data-protection commitments;
- Regulators including the Registered Insurance Brokers of Ontario (RIBO) and the Financial Services Regulatory Authority of Ontario (FSRA), and law enforcement where required;
- Successors in the event of a sale, merger, financing or reorganization of the Brokerage, subject to equivalent privacy commitments.
We do not sell your personal information.
07Insurers, MVRs & industry databases
To provide accurate quotes and underwriting, insurers routinely consult and contribute to regulator-authorized databases. With your consent, we and the insurers we approach may:
- Order a Motor Vehicle Record (MVR) from the Ontario Ministry of Transportation;
- Query auto and property claims databases (such as Autoplus, HITS/CGI and similar industry exchanges) to verify your loss history;
- Obtain property-characteristic reports and replacement-cost evaluations;
- Where applicable and permitted, obtain a credit-based insurance score from a Canadian credit reporting agency.
Information contributed to industry databases by insurers is governed by the receiving insurer's privacy policy and applicable law.
08Cross-border processing
Some of our service providers (for example, cloud hosting, email, e-signature and analytics tools) may process or store information in the United States or other jurisdictions. While stored or processed outside Canada, your information may be subject to the laws of that jurisdiction, including lawful disclosure to government authorities. We require service providers to apply protections at a level comparable to those required under Canadian privacy law.
09Retention
We keep personal information only as long as we need it for the purposes it was collected and to meet our legal and regulatory obligations. Insurance records are typically retained for a minimum of seven (7) years after the policy ends, and longer where required by RIBO record-keeping rules, the Limitations Act, 2002, anti-fraud requirements, or pending claims and litigation. 10Safeguards
We protect personal information with safeguards appropriate to its sensitivity, including:
- Physical: locked premises, restricted file access, secure shredding of paper records;
- Technical: encryption in transit and at rest, multi-factor authentication, role-based access, monitored networks, vetted broker-management systems;
- Organizational: confidentiality obligations, ongoing privacy and cybersecurity training, vendor due-diligence, written data-processing agreements.
No system can be guaranteed perfectly secure. If you suspect your account or information has been compromised, contact us immediately at the numbers in Section 17.
12Marketing & CASL
Where required by Canada's Anti-Spam Legislation (CASL), we obtain your express or implied consent before sending commercial electronic messages. Every marketing email or SMS we send identifies us, includes our mailing address, and provides a working unsubscribe mechanism that we will action within ten (10) business days. Service messages about an active policy (renewals, payment notices, claim updates) are not marketing messages and continue regardless of your marketing preferences.
13Your rights & access
You have the right to:
- Ask whether we hold personal information about you;
- Request access to that information and an account of how it has been used and to whom it has been disclosed;
- Request correction of information that is inaccurate or incomplete;
- Withdraw consent, subject to legal and contractual restrictions;
- Request deletion of information we are not required to retain.
To exercise these rights, contact the Privacy Officer (Section 2). We may need to verify your identity before responding. We aim to respond within thirty (30) days. Most requests are free of charge; for unusually voluminous or repetitive requests we may charge a reasonable, pre-disclosed cost-recovery fee. Where access is denied, we will explain why and tell you how to challenge the decision.
14Breach notification
If a breach of security safeguards creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by PIPEDA, and any other regulator entitled to notice. We maintain written records of breaches as required by law.
15Children
Our services are intended for adults purchasing insurance for themselves, their families or their businesses. We do not knowingly collect personal information from children under the age of majority for marketing purposes. Information about minor dependents is collected only as part of an insured family's underwriting record.
16Changes to this policy
We may update this policy to reflect changes in law, regulation or our business practices. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be highlighted on insuredwithamit.com and, where the change affects an active client, communicated directly.
17Complaints & contact
If you have a question, concern or complaint about how your personal information is handled, please contact us first — most issues are resolved quickly and privately.
